Role overview:

This is a fundamental and unique role within Itad ultimately responsible for ensuring that appropriate IT solutions are in place to ensure the smooth running of the company and to help us succeed in achieving our goals.

The Systems and Information manager is responsible for overseeing server, network and IT systems provisions for the company. This role acts as the technical lead for the on-going maintenance of existing IT services and for the design and implementation of new services and will be required to work across the business to ensure the right IT solutions are in place. The role sits within Itad’s Operations team and will work closely with our Knowledge Hub in particular to ensure that our Knowledge Management system is continually fit for purpose. Our Knowledge Management system (M-Files) is relatively new to the company and provides a great opportunity to work with people from across the business to ensure we get the best use from the system.  

Administrative support to the role is available internally but predominately will be provided by our external support services when required.

In addition a key element of the role is to ensure that the company continues to be compliant with current Data Protection regulations, in particular GDPR. You will be responsible for ensuring that appropriate processes and systems are in place across the business.

The work covers a wide range of sectors, including natural resources, water management, HIV/AIDS, governance, aid effectiveness, and social development. We have a proven track record in delivering Monitoring and Evaluation (M&E) and undertake institutional and programme evaluations as well as designing M&E systems for development institutions and government departments.

Core responsibilities:

• Overseeing continued systems development including server upgrades, IT Infrastructure and day to day support of users.
• Identifying opportunities for improvements and potential risks related to Itad’s information technology systems.
• Overseeing the administration of Itad’s new Knowledge management system and to ensure the system continually supports a strong culture of knowledge exchange and information management across the business.
• Management of Itad’s external IT support providers.
• Oversight of Itad’s data protection responsibilities and understanding of data protection applications.

Candidate requirements:

The successful candidate will have a proven technical background in a similar sized organisation with experience in all aspects of IT delivery.  The role requires a solid understanding of IT systems architecture and infrastructure as well as information management and data security. Equally they will be able to interpret technical requirements into business needs and vice versa.  The successful candidate will have experience working closely with information users to understand how to improve knowledge management systems, developing organisational capacity and building a strong culture of information management.

Job description

Information systems: The underlying technology that supports content and knowledge management.

Information management: The processes and technologies that support the collection, curation, and publishing of information (data, documents) for use by staff, including relevant data protection

Knowledge management: The processes and behaviours of capturing, creating, sharing, and effectively using knowledge. While information is contained in data and documents, knowledge is what we know (shaped by information, ideas, experiences, beliefs, values, etc.)

Your work and specific responsibilities will include:

Information Systems Management:

• Overseeing continued systems development including server upgrades, IT Infrastructure and day to day support of users
• Manage Itad’s IT roadmap to ensure systems are fit for purpose and in line with the Business Plan objectives
• Identifying opportunities for improvements and potential risks related to Itad’s information technology systems.
• Identifying strategies for managing growth and capacity of our systems as the organisation expands.
• Research and implementation of new technologies
• Developing and implementing of new policies and procedures as needed to support company growth and cyber-security requirements
• Writing of information risk reports for submission to Audit risk and Resilience committee on a quarterly basis
• Manage Itad’s information security compliance
• Development and chairing of a multi-disciplinary committee (ie HR, finance, BD etc) for systems development across the organisation
• Oversight of Itad’s systems security and user permissions
• Management and reporting of system integrity, updating the company risk register as appropriate
• Database development and management as required (SQL, Navision and Mfiles)
• Management of Itads external IT support providers
• Management of systems reviews to ensure systems are used efficiently and are fit for purpose

Information Management: Oversight of Itad’s data protection responsibilities and understanding of data protection applications

• Strategic reviews of systems and practices for information management
• Development of tools to monitor information management progress and effectiveness to enable reporting to Board level
• Providing of specialist advice on information management and information security
• Information management within the organisation
• Research, implementation (as necessary) and communication of new technology solutions in the area of knowledge management

Knowledge Management: Oversight of administration of the new Knowledge Management System (MFiles)

• Information management on completed internal and external projects, ensuring knowledge and learning is successfully harvested and fed back into our knowledge management systems
• Supporting the facilitation of company-wide knowledge curation and practice including creation of feedback loop within the organisation

Day to Day Responsibilities:

• Information research and management
• Curation of information on technologies used as an organisation
• Oversight of administration of Knowledge management systems
• Training and support of users/administrators/ on new systems and approaches as appropriate
• Oversight of monitoring of all IT Infrastructure
• Ownership of strategic roadmap for all systems

Technical skills and expertise:

Solid understanding of IT systems architecture and infrastructure as well as information management and data security.

Systems administration experience required in the following areas:

• Server administration (Microsoft server 2012)
• Database technologies including MySQL, SQL, query optimisation, database administration
• Microsoft O365 and Exchange
• Microsoft MDM
• Azure AD
• Microsoft Dynamics Navision 2015 (desirable)
• Microsoft Security and Compliance Centre
• M-Files DMS (desirable)
• IIS Server
• Avaya IP Office (desirable)

ISMS Experience:

• Experience with ISO27001/IASME Governance or similar
• Understanding of and ability to complete security questionnaires
• Understanding of information risk reports and technical vulnerability reports
• Management of DBRS
• Understanding of the practical applications of DPA/GDPR

Experience supporting users with the following software packages:

• M-Files (desirable)
• Dynamics Navision 2015 (desirable)
• Jet Professional (desirable)
• Microsoft Office 2013/2016
• Microsoft O365
• Skype for Business

Knowledge of other platforms and software is desirable as is experience with virtualisation.
