Role & Responsibilities:

As a Project Administrator at Itad you will work within the Project Management Unit to support Project and Programme Officers at various levels to deliver project administration and project co-ordination.  You will also work closely with the Finance Unit for the preparation of sales invoices and processing invoices from our suppliers.

The nature of this support will vary week to week, but may include the following support tasks, as agreed with members of the project team:

  • Processing consultant Purchase invoices
  • Drafting Sales invoices
  • Drafting of simple consultant contracts, and invoicing skeletons
  • Support the organisation of project travel
  • Drafting project budgets for upload onto Navision (Itad's finance system)
  • Liaising with the pool of external proof-readers to schedule inputs and draft subcontracts
  • Supporting communications with the Client and external consultants
  • Taking minutes at meetings and other project related administrative tasks

The role includes supporting the Project Management Unit in delivering non-project specialisms such as; delivering excellence, Auditing, Business Operations and Portfolio reporting.

The role also forms part of a wider group of Itad support staff, requiring flexibility in supporting the businesses needs across other Units.

The Project Administrator will need to be proactive in managing their own workload and requests from other staff in Itad. Their Line Manager will provide support in workload allocation.

Other Duties:

  • Carry out any duties which your line manager may reasonably request within the broad parameters of your role.
  • Cover for other unit support staff as necessary.

Candidate profile:

  • Good attention to detail and administration skills
  • Strong written & verbal skills
  • Be able to perform in a team and individually
  • Pro-active and able to work on own initiative with flexible approach and able to complete tasks

Qualifications & experience:

  • 1+ year’s relevant office-based experience
  • Good working knowledge of I.T. hardware and software: Essential: MS Word, MS Excel, MS PowerPoint, internet MS Outlook
  • Experience of working in the International Development sector is desirable
